Growth Experience Operations

Better withevery event

ALTO creates clarity about what works at your events, what doesn’t and where the potential lies. From this, we develop and guide concrete improvements across every area of event delivery.

Your event works. But there’s more in it.

  • Marketing, ticketing, admission and accreditation take more effort every year than they should.
  • It isn’t clearly defined who makes the decisions between internal teams and service providers.
  • After every edition, the same problems are discussed and remain unsolved.
  • Plenty of data is generated, yet it hardly informs any decisions.
  • Visitors, partners and staff run into obstacles nobody planned for.
  • The economic value of the event can only be roughly quantified.
  • The event team is caught up in day-to-day business and never gets to the structural issues.

We make visible where your event is losing performance and implement the solution together with you.

Three fields we work on.

Participants in a session at a trade event

Experience

Remove friction.

Visitors, partners, exhibitors, speakers and crew experience your event at very different touchpoints. We walk through the entire journey, from the invitation or ticket purchase through registration to post-event communication, and eliminate the points where people get stuck.

Operations

Unlock more efficiency.

Clear processes, clear responsibilities, clear interfaces. This reduces coordination effort, operational errors and costs. At the same time, your event becomes less dependent on individual people and their experience.

Growth

Increase impact measurably.

We link your event goals to figures that can actually be collected. This results in reliable KPIs and concrete levers for higher attendance, stronger loyalty and a greater economic contribution.

Three modules.
The scope follows your event.

Module 01 Review & Potential

Event Analysis

We show you where your event is losing performance and what exactly you should change.

Key question

What isn’t working, and why?

Outcome

Analysis and prioritised action plan

Analysis scope and deliverables

  • Visitor journey: sales, admission and accreditation
  • Programme, spaces and visitor flows
  • Team and process organisation
  • Data, KPIs and success criteria
  • Event Performance Report
  • Measures prioritised by impact and effort
  • Roadmap for the next edition
  • Results presentation for your team

Individual processes on their own tell too little. Only the interplay of visitor perspective, organisation, service providers, technology, data and economic goals reveals the full picture.

The process includes a kick-off and goal definition, a review of existing documents and data, interviews with internal stakeholders and a final decision-making workshop.

Module 02 Concept & Implementation

Event Optimisation

We implement the most important improvements together with you.

Key question

What exactly do we want to improve?

Outcome

Implemented processes, tools and structures

Services in the sprint

  • New registration or accreditation process
  • Roles, briefing and handover system
  • Revised marketing concept
  • KPI, data and management tools
  • Partner selection and tender support
  • Test run and team training
  • Final management reporting

In the sprint, we implement agreed measures within a clearly defined timeframe. Outcome, scope, responsibilities and schedule are fixed before the project starts.

This includes regular steering meetings, workshops with the teams involved, development of the required documents and tools, and a documented handover to your internal team.

Module 03 Performance & Growth

Event Partnership

We accompany your event through a complete development cycle.

Key question

How do we ensure continuous improvement?

Outcome

Management across the entire event cycle

Components of the partnership

  • Steering and decisions
  • Support for the internal event team
  • KPI and data design
  • Process and supplier management
  • Preparation and operational alignment
  • On-site support and observation
  • Post-event analysis and optimisation plan

Our event partnership combines analysis, project management, quality assurance and continuous improvement into one continuous process. Over several months, we support your internal event team, consistently follow through on agreed measures and coordinate the relevant interfaces between everyone involved.

This way, insights from one edition are not lost; they feed directly into planning the next.

Events we have already supported.

A selection of formats we have supported in an advisory capacity and in delivery.

Recurring formats have an advantage that one-off events never get.

Insights from one edition could give the next one a head start. Usually, they get lost between meetings and tools. We make sure they don’t.

Sponsorship with demonstrable impact.

We turn reach into an offer that convinces.

Good sponsorship brings together the interests of sponsor, organiser and guests.

A good event alone doesn’t win sponsors. Companies need a clear offer that addresses their goals and quantifies the added value of a partnership. We analyse format, target groups, touchpoints and activation opportunities.

We then support you with the sales process. We place suitable partnerships within our own sponsor network and approach companies whose brands and goals fit the event. The aim is partnerships that work in substance.

You receive

  • a compelling sponsorship story
  • a professional pitch deck
  • clear packages and a robust pricing structure
  • individually bookable add-ons
  • activation ideas that fit both event and sponsor
  • materials for direct outreach

Assessing and supporting cultural events.

Cities, foundations, local banks and companies usually decide on festivals, concert series and local cultural projects based on a pitch document. We tell you in advance whether a project is viable and then support it through delivery.

Before commitment

Choosing the right event.

We review the budget, organiser, permits and contracts and ask the questions a pitch rarely answers on its own. You find out whether, and under which conditions, funding or sponsorship makes sense.

During delivery

Deploying funds effectively.

We accompany events throughout delivery, monitor how they develop and adjust course where needed. This way, grants, sponsorships and investments are put to the best possible use rather than only being assessed in hindsight.

What we look at

Budget and scenarios

Contribution margin, break-even, attendance assumptions and whether any contingency has been planned at all.

Organiser and track record

References, creditworthiness, staffing capacity and the actual outcome of previous projects.

Permits and safety

Regulatory requirements, safety concept, venue regulations and the status of talks with the authorities.

Contracts and liability

Artist and contractor agreements, cancellation insurance, force majeure and payment obligations in a worst-case scenario.

Liquidity and cash flow

Dependence on advance sales, contractor payment terms and pre-financing needs over time.

Impact and course correction

Visibility, visitor trends and where in the project course corrections are needed.

Managing Director

Alex Guthmann and Leo Fischer both come from hands-on event operations. Over the years, they have built, developed and scaled formats, and they know the difference between a concept on paper and an event that works on the day. This includes commercialisation: through event sponsorship, they bring companies and events together and have built an active sponsor network as a result.

They support organisers from strategic sparring to hands-on help in day-to-day project work. To do so, they draw on an established network of specialists across all relevant trades and can provide the right operational support at short notice when needed.
